Office coffee service in Ottawa and Kanata: what it really costs in 2026 (per-cup math for 10, 25 and 50 staff)

Office coffee service in Ottawa and Kanata with a Fast Coffee bean-to-cup station costs $99 CAD a month per station plus $0.95 per drink for the first 300 drinks and $0.75 per drink above that, with cups billed separately and drinks free for employees. The four office coffee options in 2026

Offices in Ottawa usually choose between a drip coffee maker stocked from grocery runs, a pod machine, a vending machine, and a serviced bean-to-cup station. The difference comes down to who buys the supplies, who cleans the machine, which drinks it makes, and how the bill grows with your team.

A bean-to-cup station grinds whole beans for every cup and steams milk for the latte and the cappuccino. A drink takes under a minute and a single press on the screen. The full list is on the menu page.

Per-cup math for 10, 25 and 50 staff

For one Fast Coffee station the monthly bill equals $99 plus $0.95 for each of the first 300 drinks and $0.75 for each drink after that. The more your team drinks, the lower the all-in price per cup.

To make the numbers comparable we use two scenarios. Both assume a four-day on-site week, which is about 17 office days a month:

• Light use: 2 drinks per person per week, about 9 drinks per person per month.
• Daily use: 1 drink per person per on-site day, about 17 drinks per person per month.

Real volumes vary a lot between teams. A Kanata office of 400+ people has run a Fast Coffee station for twelve months at about 300 drinks a month, well below either per-person scenario. Per-drink billing follows what the team actually pours, so a quiet month costs less.

Hidden costs: time, cleaning and supplies

The receipt for a coffee maker covers the machine and the coffee. Staff time, cleaning and restocking are paid for as well, just out of other budget lines.

• Time. Someone buys the coffee, refills the machine, washes the carafe and descales it. At 15 minutes a day over 17 office days, that is 4.25 hours a month. Priced even at Ontario's general minimum wage of $17.95, which applies from October 1, 2026, that comes to $76.29 a month, and office salaries sit above that floor.
• Grocery prices. Statistics Canada reports that prices for food purchased from stores rose 2.8% year over year in August 2026 and are up 29.0% since August 2021.
• Waste and cleaning. Pods fill a bin, and a pot that sits on the hot plate gets poured out at the end of the day.
• Machine lifespan. A purchased machine is your asset and your repair bill.

With a Fast Coffee station the $99 covers delivery, installation and start-up, servicing, cleaning cycles and repairs, beans, milk powder, syrups and other consumables, and removal of the station when you stop. Cups are the one supply line billed separately.

Why Ottawa offices are rethinking coffee this fall

Two things changed for Ottawa offices in 2026: federal public servants now have a four-day minimum on-site week, and consumer prices keep rising. The federal Direction on Prescribed Presence in the Workplace applies from July 6, 2026 and sets a minimum of four days a week in the workplace, or 80% of the regular schedule, for core public administration employees. More days on site means more cups poured in federal offices.

Statistics Canada reported on September 14, 2026 that the Consumer Price Index rose 3.0% year over year in August 2026, matching July. With per-drink pricing the office knows its cost per cup in advance and can plan the 2027 budget line from actual volumes.

What installation needs

A Fast Coffee station needs about 1 m² of floor space, a 120V/15A outlet and a water line or a refillable tank, and installation takes about an hour. We book the site check within a few days of your call and deliver once the spot, the outlet and the water are confirmed.
